Personal Calls in Office Hours: What the Call Log Shows, No Spyware

In short: You do not need to spy to know whether office hours are going on personal calls. Put business calling on a business SIM, track that SIM openly with the employee's consent, and read three things in the report: gaps between calls, long calls to numbers that are not leads or customers, and talk time against dials. Personal SIMs and excluded numbers stay untouched. Most of the time the numbers reveal a list or process problem rather than a person hiding; when they do reveal a person, you have facts instead of suspicion.

The suspicion is common and usually half right. The register says a full day; the phone shows two long silences and a forty-minute call at 3 pm to a number nobody recognises. Here is how to find out what is actually happening, fairly, and what the numbers tend to mean.

What not to do

The setup that makes the question answerable

  1. Business calling on a business SIM. The single most useful policy a small firm can have. Personal calls go on the personal SIM or phone; the business SIM is the company’s.
  2. Track the business SIM openly. A call tracking app installed with the employee’s consent, reading that SIM’s call log, with personal SIMs and any listed personal numbers excluded. The employee sees the same report.
  3. The app is the dialer. So every call on the business SIM is counted, including ones placed from other apps, and each connects to a lead record where one exists.

With that in place, the question stops being a suspicion and becomes three lines on a report.

The three lines to read

  • Gaps. A dial session has a rhythm: a call every few minutes. A ninety-minute gap between 11:10 and 12:40 with no calls is either a meeting, a visit, lunch, or something else, and it is visible.
  • Non-customer numbers. A long outgoing call on the business SIM to a number that is not a lead, not a client and not in the company contacts. One is nothing; a daily one at 3 pm is a pattern.
  • Talk time against dials. Two hundred dials with fifteen minutes of talk time is dial-and-cut calling that looks busy; thirty dials with ninety minutes of talk time to three numbers is a different problem.

What the numbers usually mean

In our experience, more often than not the report clears the person and indicts the process. The gaps are unassigned time because the lead list ran out by 11. The long calls are to a relative who is also a customer. The low talk time is a stale list nobody could connect on. That is worth knowing before a conversation that would otherwise have started with an accusation.

When the pattern is real, you have dates, times and durations rather than a feeling, and the conversation can be short and specific: “the business SIM shows an hour a day on this number during calling hours; help me understand it.” The policy, signed with the tracking consent, does the rest.

The policy that makes it fair

One page: business calls on the business SIM; personal calls on the personal SIM or phone; reasonable personal use accepted, nobody is timing bathroom breaks; business SIM activity is tracked and visible to the employee; a conversation before any action.
