Payment Reminder Messages to Customers: 15 Polite Samples (India)

In short: Send payment reminders as a ladder, not an outburst: a friendly heads-up before the due date, a gentle nudge on it, firmer notes at 7 and 15 days with payment details in every message, and a final-notice call after 30. Early, polite and automatic collects more than late and angry, because the awkwardness businesses avoid is exactly what lets dues age.
Every business that gives credit knows the spiral: the payment slips, chasing feels awkward, so nobody chases, so it slips further, and by day 45 a routine invoice needs an uncomfortable phone call. The fix is not courage. It is a ladder of polite messages that start before the due date and escalate on a schedule, so no single message ever has to carry the anger of six silent weeks.
Copy these, replace the [brackets], and put UPI details in every message: each rupee of friction between “I should pay” and “paid” costs you days.
Before the due date (the reminder nobody resents)
- “[name] ji, a gentle heads-up: invoice [number] for ₹[amount] is due on [date]. UPI: [id] or account details: [details]. Please ignore if already scheduled, and thank you for the business!”
- “[name] ji, your [service/order] payment of ₹[amount] falls due this [day]. Paying early keeps your [delivery/service] on schedule. Any question about the bill, message me here.”
On the due date
- “[name] ji, invoice [number] (₹[amount]) is due today. One-tap UPI: [link/id]. Please share the screenshot once done so I can update your account immediately.”
- “Reminder: ₹[amount] due today for [product/service], [name] ji. If there is any issue with the bill or the amount, tell me today itself and I will sort it, no problem.”
3-7 days overdue (still warm, now specific)
- “[name] ji, the ₹[amount] payment for [invoice] is now [n] days past due. I am sure it slipped in the rush. UPI: [id]. Shall I expect it by [specific day]?”
- “Hello [name] ji, following up on invoice [number]: ₹[amount], due [date]. If cash flow is tight this week, tell me and we can fix a date that works: I would rather know than wonder.”
- Part-payment opener: “[name] ji, on the pending ₹[amount]: even a part payment this week helps both of us. Balance can follow by [date]. Works?“
15 days overdue (firm, consequences named, door open)
- “[name] ji, invoice [number] is now [n] days overdue (₹[amount]). To continue [service/next delivery] without interruption, please clear it by [date]. UPI: [id]. Call me if there is a genuine difficulty; silence is the only thing I cannot work with.”
- “[name] ji, this is the third reminder for ₹[amount] pending since [date]. I have always valued our relationship, which is why I would rather resolve this over a friendly call than let it become formal. When can we speak today?“
30+ days (final notice, still professional)
- “[name] ji, despite reminders, ₹[amount] remains unpaid for [n] days. Please treat this as the final reminder: payment by [date] avoids [stated consequence: service stop / late fee as per terms / formal notice]. I remain reachable on this number for any resolution.”
Special situations
- Cheque bounced: “[name] ji, cheque [number] for ₹[amount] was returned by the bank. Please arrange payment by UPI/transfer by [date]: [details]. Bank charges of ₹[amount] apply as per terms.”
- EMI/instalment: “[name] ji, instalment [n] of ₹[amount] for your [product/scheme] is due [date]. Paid so far: ₹[total]. UPI: [id].”
- Renewal + due combined: “[name] ji, your [service] renews on [date] (₹[amount]) and last cycle’s ₹[amount] is still pending: clearing both together keeps everything seamless. Total: ₹[total]. [details]”
- Gentle-relationship version (regulars you cannot afford to offend): “[name] ji, my accountant is after me for pending entries! Yours shows ₹[amount] from [month]. Whenever convenient this week: [UPI]. Chai on me next visit.”
- After payment (always send it): “Received, [name] ji: ₹[amount] against invoice [number]. Receipt attached. Thank you for the promptness: it genuinely matters to a business like ours.”
The system that makes the ladder actually run
The wording above fails if the sending depends on someone remembering to feel awkward on schedule.
