18 WhatsApp Follow-Up Messages for Sales (Copy, Paste, Close)

By · Chief Executive Officer, Wappblaster

In short: The best sales follow-up on WhatsApp is short, names the last conversation, gives one clear next step, and arrives on time. Steal the 18 templates below, then automate the timing so they actually go out.

The deal usually does not die on the call. It dies in the silence after the call, when the details you promised go out late or never. These templates fix the words; the timing part we will get to at the end.

Replace the [curly parts]. Keep messages under four lines: on WhatsApp, long messages read as marketing and short ones read as a person.

Right after the first call

  1. “Hello [name] ji, this is [your name] from [business]. Good talking to you just now. As discussed, here are the details: [link/details]. Any question, message me here.”
  2. “Thank you for your time [name] ji. Sharing the [price list / brochure / photos] you asked for. I will call you [day] as decided.”
  3. Missed them? “Hello [name] ji, [your name] from [business]. Tried calling you just now regarding your enquiry. Will try again, or tell me a good time.”

After sending a price or quote

  1. “[name] ji, did you get a chance to see the quote? Happy to adjust the [quantity/model] if needed.”
  2. “Sharing one more option in your budget: [option]. Difference is [one line]. Which one should I hold for you?”
  3. “Price valid till [date] - after that [reason]. If you want it, I can confirm your order today itself.”

When a customer goes silent

  1. “Hello [name] ji, just following up on the [product/service] we discussed. Is it still on your mind, or should I close the file for now?”
  2. “No pressure [name] ji - if the timing is wrong, tell me and I will check back in [month]. If something was missing from my side, tell me that too.”
  3. The honest last message: “Closing your enquiry from my side for now. Whenever you are ready, this number is always on. Thank you for considering us.”

That third one gets more replies than any reminder, because it is the only one that costs the customer something: the option.

After the sale

  1. “Order confirmed, [name] ji. [What happens next, one line]. Delivery/start: [date]. This number is your direct line for anything.”
  2. “Your [product] was delivered today. Please check once and tell me everything is proper. Thank you for choosing [business].”
  3. Ask while goodwill is highest: “Glad it worked out [name] ji. If you know anyone who needs [category], sharing my card here - a reference from you means a lot.”

Renewals and repeat business

  1. “[name] ji, your [policy/AMC/subscription] comes up for renewal on [date]. Same terms as last year: [amount]. Shall I process it?”
  2. “It has been [months] since your last [service/order]. Most customers redo it around now. Want me to schedule this week?”

Renewal messages only work if something reminds YOU. That is a renewal tracker’s job, not memory’s.

After a missed call from a customer

  1. “Sorry I missed your call, [name] ji. I am free now - shall I call you, or tell me here what you needed?”
  2. For after-hours: “Namaste, you called [business] outside our hours ([hours]). We will call you first thing tomorrow. For anything urgent, message here.”

Payment reminders (the polite ladder)

  1. “Gentle reminder [name] ji: ₹[amount] for [invoice/order] is pending since [date]. UPI/details: [details]. Please ignore if already paid.”
  2. Second reminder, firmer, still warm: “[name] ji, the ₹[amount] payment is now [days] overdue. Please clear it today so your [service/delivery] continues without a break. Call me if there is any issue with the bill.”

The part templates cannot fix

Every template above fails if it goes out two days late, and on a busy day everything goes out two days late. The fix is not discipline, it is wiring: RMDialer sends the after-call message by itself the moment the call ends, fires status-based messages when a lead moves, and rings you for the follow-ups that need a human. Write the message once, and the timing stops depending on your memory. On the official WhatsApp Business API, bulk and automated sending also keeps your number within WhatsApp’s rules - worth understanding before you bulk-send anything.

Questions

Questions people ask about this

What makes a good WhatsApp follow-up message?

Short, names the last conversation, gives one clear next step, and arrives on time. The timing matters as much as the wording, which is why automating when they send usually improves results more than rewriting them.

How often should I send WhatsApp follow-ups?

On a decaying schedule rather than daily, with each message adding something new: an answer, an option or a deadline. Repeating the same nudge trains the customer to ignore your messages entirely.

How to send a WhatsApp message automatically after a call?

Use a dialer with auto WhatsApp: set a message once per call type (missed, incoming, outgoing) and per lead status, and the app sends it the moment the call ends, personalised with the customer's name. From the user's own number it opens WhatsApp with the message ready; through the WhatsApp Business API it sends with zero taps.

Do I need the WhatsApp Business API to send automatic messages?

Not for one-to-one follow-ups: a dialer can open WhatsApp on your own number with the message prepared after each call. You need the official API for fully hands-free sending, bulk campaigns to hundreds of numbers with delivered and read reports, and message templates. RMDialer works both ways and connects to the API from Meta or any provider.

How to send bulk WhatsApp messages without getting banned?

Send to people who know you and have opted in, personalise with the name, keep to a few hundred a day from a normal number with gaps between messages, and stop sending to anyone who does not reply or asks you to stop. For larger volumes use the official WhatsApp Business API with approved templates, which cannot be banned for volume and gives delivery reports.

Does bulk WhatsApp from my own number work without an API?

Yes, one message at a time from your phone: the app prepares each message with the name filled in and hands it to WhatsApp, and you tap send. It is safe for lists of a few hundred known contacts. For thousands of numbers, or for reports of delivered, read and replied, the WhatsApp Business API route is the right one.

How do I remind clients about renewals automatically?

Record each paying client once with the product, package, amount paid, amount due and expiry date. The app then rings the right person before expiry (for example 30, 7 and 1 days before) and can send a WhatsApp reminder automatically at each step, so renewals stop depending on a diary.

What is a telecalling CRM?

A telecalling CRM is customer software built around phone calls: the lead list, the dialer, the call outcome and the follow-up live in one place. The mobile kind, such as RMDialer, replaces the Android phone app on each rep's handset so every call automatically becomes a record with a status, a remark and the next follow-up, and the manager sees the whole team on a web dashboard.

What is the difference between telecalling software and a CRM?

Telecalling software is built to make and track calls (dialing lists, call logs, per-caller reports). A CRM is built to hold customer records and pipeline stages. Most Indian sales teams need both at once, which is why a telecalling CRM combines them: the call itself creates and updates the customer record, so nobody types into a separate system after the call.

What is a CRM dialer?

A CRM dialer is a single app where the dialer and the customer record are the same thing: the call screen shows the lead, and ending the call updates it. It differs from a CRM with "dialer integration", which is two products joined by a sync. RMDialer is a CRM dialer for Android that runs on the user's own SIM.

How long does it take to set up a telecalling app for a team?

About an hour for a small team. Each person installs the app from the Play Store, signs in with the team account and sets it as the default phone app. The owner adds users on the Web CRM, imports the first lead list from Excel and assigns it. Most teams make their first auto-dialled calls the same day.

Do I need a virtual number to run a calling team?

No. A virtual number is only needed when calls must be routed through a cloud platform, for example for an inbound IVR. An outbound sales team can run entirely on business SIMs in the reps' phones, with the app logging every call and the owner reading the reports. Customers also answer known mobile numbers more readily than unfamiliar virtual ones.

How do I assign leads to telecallers automatically?

Import or connect the lead source once, then turn on round-robin assignment: each new lead goes to the next active employee in rotation, their phone pings, and the lead appears in their assigned queue with the auto dialer ready. Managers can reassign or transfer a lead any time and the transfer history stays on the record.

Why do telecallers stop using the CRM?

Because a separate CRM means typing after every call, and on a busy day the typing is the first thing dropped. The fix is a CRM that lives inside the dialer: the call creates the record, the outcome is two taps on the after-call screen, and the follow-up is set in the same motion. When updating the CRM costs nothing extra, it stays updated.

Can a telecalling CRM work for a team working from home?

Yes. Each rep installs the app on their own Android phone with the business SIM, and every call they make from home is logged and synced exactly as it would be in the office. The owner sees calls, talk time and outcomes per person on the Web CRM, and leads are assigned remotely, so a distributed team runs like a single desk.

  • “Telecaller app for Android that my staff actually use. Enquiry list is assigned to each telecaller, the auto dialer calls it from their own SIM, and test ride bookings come to me live. Punjabi interface for the girls at the desk. Price is honest, everything included, no per-user surprises.”
Harpreet Singh Owner · Two-wheeler showroom Ludhiana
  • “We needed an auto dialer app that works on our own MTN and Airtel lines, not a call centre subscription in dollars. RMDialer runs on the phones my agents already have, dials the enquiry list, and the WhatsApp follow-up goes out after every call. Works even when the network drops and syncs later.”
Grace Okafor Managing director · Travel agency Lagos, Nigeria
  • “We looked for telecalling software for a nine-person loan team and every quote came with cloud seats and per-minute bills. RMDialer telecalling software runs on the callers' own Jio SIMs: the lead list dials itself, the remark goes on the number, and I get dials, connects and talk time per caller every evening. Cost is one flat price per user.”
Kavita Iyer Operations head · Loan DSA Chennai
  • “Earlier I was dialling 80 to 100 portal leads a day by hand from Excel. With RMDialer auto dialer app I import the sheet, press start and it calls one by one from my own Jio SIM. Between calls I mark Interested or Site visit in two taps and the follow-up rings me on time. Closed 3 flats last month from leads I would have forgotten.”
Rakesh Choudhary Real estate consultant · Property advisory Jaipur
  • “We tried two telecalling CRM software before this and my counsellors stopped filling them within a week. RMDialer is the phone app itself, so every admission enquiry gets logged whether they like it or not. The auto WhatsApp after call sends the fee structure by itself. I see all 4 counsellors' calls on the web CRM every evening.”
