Auto Dialer Settings That Matter: Gap, SIM, Retries & Completion

In short: Six settings decide an auto dialer session: the gap between calls (6-10 seconds for real selling; never zero), which SIM dials (always the business SIM), retry handling for no-answers (different hour, not instant hammer), what counts as “complete” for a lead, speaker/headset defaults, and session size (150-250 dials a day per rep, not the whole list). Set once per campaign type, then stop fiddling.
Two teams run the same auto dialer on the same lists: one swears by it, the other calls it “too fast, too messy” and drifts back to manual. The difference is almost always settings: five minutes of configuration that decide whether the tool feels like rhythm or like a treadmill. Here are the six that matter, assuming you know the basics.
1. The gap between calls (the big one)
The pause after one call ends before the next dials. Zero-gap is the classic mistake: no breath, no time to finish the remark that makes tomorrow work, and quality collapsing by call forty. Right values:
- 6-10 seconds: real selling: enough to save the outcome, glance at the next record, breathe
- 10-15 seconds: complex calls needing notes (loans, B2B, quotations)
- 3-5 seconds: only for short-verification work (COD confirmations, RSVPs)
If reps ask for zero gap, they are optimising dials over outcomes: the wrong number to chase.
2. Which SIM dials
Dual-SIM phones must pin the session to the business SIM: the one whose reputation you maintain, whose WhatsApp customers know, whose Truecaller name is claimed. Sessions on the wrong SIM scatter your identity and puzzle every callback.
3. Retry logic for no-answers
Not-answered is “not now”: the setting question is what the system does about it. The wrong answer: instant re-dial: hammering that flags numbers. The right one: no-answers cycle into a retry queue at a different hour: attempt two next day in a shifted window, attempt three two days later: where the recovered connects actually live.
4. What “complete” means
Sessions need a rule for when a lead leaves the list: otherwise “called once, no answer” quietly counts as done and a third of the list evaporates unworked. Sane defaults: a lead completes on a conversation outcome (status set by a human) or after N retry attempts (three is standard): never on a single unanswered ring.
5. Audio defaults
Speaker or headset pre-set per session: reps doing volume belong on headsets (hands free for the two-tap outcome); the setting that makes each call start with fumbling for the speaker button costs a second of composure per call, and composure is the opener.
6. Session size and pacing
Load the day’s realistic slice: 150-250 dials per rep: not the whole 2,000-row list. Oversized sessions create end-of-day rushing (quality dies) or perpetual 12%-done lists (morale dies). Pair sessions to audience windows: the shopkeeper list at 12-4, the salaried list at 11-1: two right-sized, right-timed sessions beat one marathon.
Bonus: auto call scheduling (sessions and callbacks)
Two scheduling layers complete the setup. Session scheduling: run lists as standing daily sessions in their audience’s windows: the fresh-lead sweep every hour, the shopkeeper list at noon: so pacing becomes calendar, not memory. Callback scheduling: the “call me Thursday 11” promise is not a session matter at all: it becomes a reminder that rings that exact slot with the record attached, outranking whatever session is running. The distinction matters: sessions are how you work lists; scheduled callbacks are how you keep promises: and promises outrank lists, always.
The meta-setting: stop fiddling
Configure once per campaign type: fresh-enquiry sessions (short gap, call-first), cold-segment sessions (longer gap, WhatsApp-warmed), collection/renewal sessions (long gap, records open): save them, and resist daily tinkering.
