Quotation Follow-Up Messages: 12 Samples That Get Replies

In short: Follow up a quotation on a day-1, day-3, day-7 rhythm, and never ask "did you see it?": each message should add something: an answer, an option, a deadline, a reference. Price objections get a question before a discount, silence gets the option-closing message, and every follow-up ends with a specific next step.

A quotation sent is a deal half-lost: the customer now has your number in hand and three competitors’ quotes beside it. The follow-up messages decide the other half, and the worst of them: “Sir, did you check my quotation?”: asks the customer to do your selling. Every message below adds something instead. Replace the [brackets]; the schedule matters as much as the words.

Day 1: the anchor (send with or right after the quote)

  1. “[name] ji, quotation sent for [item/service]: ₹[amount] including [key inclusions]. Two things to note: [strongest point, e.g. warranty/delivery time] and [second point]. Any question, message here: I reply fast.”
  2. If quoted on a call: “[name] ji, as discussed, the quotation: [details/attachment]. The [option] we spoke about is included. I will call [day] once you have gone through it.”

Day 3: the value nudge (never “did you see it”)

  1. “[name] ji, one thing I forgot to highlight in the quote: [genuine point: free installation / service visit included / spare availability]. It matters when comparing with others. Where has your thinking reached?”
  2. “[name] ji, a customer took the same [item] last week: sharing their [photo/feedback] so you can see it in real use. Your quote is valid till [date].”

Day 7: the direct ask

  1. “[name] ji, wanted to ask straight: is the [item] plan still on, or has something held it up? If it is the budget, tell me: there may be an option. If the timing moved, no problem: I will note it and check later.”
  2. Competitor situation: “[name] ji, if you have received other quotations, I would genuinely like one chance to match the comparison: sometimes the difference is in what is NOT included. Two minutes on a call?”

Price objection replies (question before discount)

  1. “Samajh sakta hoon [name] ji. Budget kitne tak ka socha tha aapne? Us range mein kya ban sakta hai, main check karke batata hoon.”
  2. “[name] ji, price ka farak mostly [reason: material/warranty/service] ka hai. Agar wo part adjust karein to ₹[lower] mein ho jayega: lekin main recommend karunga pehle 2 minute baat kar lein, phir decide kariye.”

Deadline and stock nudges (only when true)

  1. “[name] ji, the [rate/offer] in your quotation holds till [date]: after that [reason: price revision/stock]. If you want it at this rate, confirm by [day] and I will lock it.”
  2. “[name] ji, the [colour/model] you preferred has [n] pieces left. Shall I hold one against your quotation till [day]?”

The close (the message that outperforms chasing)

  1. “[name] ji, main apni taraf se yeh quotation file close kar raha hoon: aapko baar-baar disturb nahi karna chahta. Jab bhi plan bane, yeh rate main try karke wapas arrange kar doonga. Dhanyavaad!” (Why this works: it is the only follow-up that costs the customer the option.)
  2. After the close, 60-90 days later, revived: “[name] ji, aapne [month] mein [item] ka quotation liya tha: ab [new trigger: naya stock/offer season] hai. Ab kya scene hai?”

The rhythm: day 1, 3, 7, close, revive: fails when it lives in memory, which is where quotation follow-ups die.
