Calling Campaign Software: Run a Campaign End-to-End (India)

By · Chief Executive Officer, Wappblaster

In short: A calling campaign runs in five stages: define (one goal, one segment, one deadline), load (import with source tags, dedup, assign per caller), warm (the intro WhatsApp), dial (auto-dial sessions in the audience’s windows, outcomes in two taps), and read (connects, conversations, outcomes per day: with course corrections mid-flight). Campaign software is whatever holds all five in one place: which is a dialer-CRM, not a spreadsheet and a group chat.

“Campaign” is the word teams use when calling gets a deadline: the exhibition list before the offer expires, the renewal season, the new-branch launch push, the D2C winback drive. What separates campaigns that finish from campaigns that fizzle is rarely effort: it is whether the list, the assignments, the pacing and the numbers live in one system or four places. Here is the end-to-end shape.

Stage 1: Define (one sentence, honestly)

“Call [segment] about [goal] by [date].” One goal per campaign: mixing “revive old leads” with “collect pending payments” in one list makes both scripts worse. And one honest volume check: a caller clears 150-250 dials a day: a 3,000-number list with two callers is a two-week campaign, not a Friday wish.

Stage 2: Load

Import the list: Excel, Sheet, or a filter on your own leads: with a campaign source tag (this is what makes stage 5 possible), dedup against existing customers (nobody cold-pitches a paying client), and assignment per caller: explicit lists, no shared-pool grabbing.

Stage 3: Warm (cold lists only)

The intro WhatsApp the evening before or morning of: identifying, purposeful, on the official API if the list is big. Skip for fresh enquiries and known customers: call those directly.

Stage 4: Dial (the visible part)

Auto-dial sessions in the audience’s answering windows, gaps set for the script’s weight, outcomes in two taps, the follow-up WhatsApp riding each call. No-answers cycle to shifted-hour retries automatically: a campaign that dials everyone once has worked two-thirds of its list.

Stage 5: Read, and course-correct mid-flight

The stage spreadsheet campaigns cannot do: daily numbers while the campaign breathes. Connects, conversations, outcomes per caller per day: read for three signals: connects low → wrong window or tired list: shift hours or cut the dead segment; conversations shortthe opener is dying: fix the script tonight, not post-mortem; outcomes missing → someone is dialing without recording, and their portion of the campaign is evaporating.

The wrap-up teams skip (where campaigns compound)

Campaign end is not the last call: it is the sort. Interested-but-later leads get scheduled revival dates; the campaign tag’s conversion rate gets written next to its cost (the number that plans the next campaign); and the script learnings get one paragraph while they are fresh. Teams that close campaigns this way find each one starts smarter than the last: which is the entire difference between running campaigns and running a calling operation: the campaigns are the workouts; the record system is the muscle they build.

Questions

Questions people ask about this

How do I run a calling campaign?

In five stages: define one goal, one segment and one deadline; load the list with source tags, deduplicated and assigned per caller; warm it with an introductory WhatsApp; dial in auto-dial sessions inside your audience's answering windows, saving outcomes in two taps; then read the report and decide what to repeat.

What does calling campaign software need to do?

Hold the list with source tags, split it fairly between callers, dial it hands-free, capture the outcome of every call without a form, and report connect rates and results by caller and source. If any of that is missing, someone ends up maintaining a spreadsheet alongside the campaign.

Can a telecalling CRM work for a team working from home?

Yes. Each rep installs the app on their own Android phone with the business SIM, and every call they make from home is logged and synced exactly as it would be in the office. The owner sees calls, talk time and outcomes per person on the Web CRM, and leads are assigned remotely, so a distributed team runs like a single desk.

How long does it take to set up a telecalling app for a team?

About an hour for a small team. Each person installs the app from the Play Store, signs in with the team account and sets it as the default phone app. The owner adds users on the Web CRM, imports the first lead list from Excel and assigns it. Most teams make their first auto-dialled calls the same day.

Do I need a virtual number to run a calling team?

No. A virtual number is only needed when calls must be routed through a cloud platform, for example for an inbound IVR. An outbound sales team can run entirely on business SIMs in the reps' phones, with the app logging every call and the owner reading the reports. Customers also answer known mobile numbers more readily than unfamiliar virtual ones.

How do I assign leads to telecallers automatically?

Import or connect the lead source once, then turn on round-robin assignment: each new lead goes to the next active employee in rotation, their phone pings, and the lead appears in their assigned queue with the auto dialer ready. Managers can reassign or transfer a lead any time and the transfer history stays on the record.

How can a manager see every call the team makes?

With a call tracking app installed as the phone app on each staff phone, every incoming, outgoing and missed call on the business SIM syncs to the owner's dashboard by itself. The manager filters by employee and date to see calls made, calls connected, missed calls, talk time and the status saved after each call, without asking anyone for a report.

Why do telecallers stop using the CRM?

Because a separate CRM means typing after every call, and on a busy day the typing is the first thing dropped. The fix is a CRM that lives inside the dialer: the call creates the record, the outcome is two taps on the after-call screen, and the follow-up is set in the same motion. When updating the CRM costs nothing extra, it stays updated.

How many calls should a telecaller make per day?

Between 80 and 150 dialled calls a day is normal for outbound telecalling in India, which usually means 30 to 60 connected conversations. The number matters less than the connect rate and the outcomes saved after each call; an auto dialer removes the dead time between calls so the same person reaches the higher end without working longer.

What should a daily call report for a sales team include?

Per employee: calls dialled, calls connected, missed and rejected calls, unique numbers, total talk time, and the outcomes saved (interested, follow-up, not interested, lost). Per team: the same totals plus leads moved by status and follow-ups due tomorrow. A tracking app builds this from the phones automatically, so nobody fills a register at 7 pm.

What happens if an employee uninstalls the tracking app or logs out?

Everything already synced stays in the owner's account. From that moment the phone stops reporting, and the dashboard shows when each phone last synced, so a phone that has gone quiet stands out the same day. In practice "the app was off all Tuesday" is itself the report.

How can I import leads from Facebook lead ads into a dialer?

Connect the ad account or the Google Sheet that Facebook writes leads into as a lead source. New rows are checked every few minutes, de-duplicated, tagged with the source and assigned to your team, so the enquiry is ringing on a rep's phone within minutes instead of waiting in a spreadsheet until someone exports it.

What is a staff attendance app with selfie and location?

An app where employees punch in and out with a live selfie (with a blink or head-turn check so a photo cannot be used) and the phone's location checked against the office or site geofence. It replaces the register and proxy punching, works offline and syncs later, and exports a monthly report for payroll. In RMDialer it is part of the same dialer the team already uses.

Which CRM works for a collections or recovery team?

A SIM-based auto dialer with promise-to-pay reminders: the daily repayment list auto dials per executive, each call ends with a remark and a promised date that becomes a reminder, and the manager sees connected versus not-reachable per person. Talk time per employee is the number that ends the "phone was busy all day" excuse.

What is an auto dialer app?

An auto dialer app calls a list of phone numbers one after another so the caller never types a number. On Android, an app like RMDialer runs the session on the phone itself using the SIM already in it: you pick a list from Excel, a Google Sheet, an API or assigned leads, press start, and the app dials each number in turn while you mark the outcome between calls.

Cost is one flat price per user.”

  • “Earlier I was dialling 80 to 100 portal leads a day by hand from Excel. With RMDialer auto dialer app I import the sheet, press start and it calls one by one from my own Jio SIM.
