How to Choose Telecalling Software: The 10-Point Checklist

Every telecalling software demo is excellent: rehearsed data, office Wi-Fi, the vendor driving. The differences that decide whether the tool is alive in year two hide in questions demos are designed to skip. Here are the ten, each with the test that exposes a weak answer. (What the software category even is, if you are starting from zero.)

The ten questions

1. SIM or cloud calling? The architecture decides your answer rates and your bill before any feature matters. Test: “what number does my customer see, and what do I pay per minute?”

2. Does it replace the phone’s dialer, or sit beside it? A side-app misses every incoming customer call: half your relationship arrives without history. Test: “call this phone right now: what does the screen show?”

3. Seconds from call-end to record-updated? Over fifteen, and your team will stop by week three. Test: time it in the demo, on a phone, with one thumb.

4. Do reminders RING, or wait in a list? A follow-up system that must be checked is a diary with a subscription. Test: set one for two minutes from now and lock the phone.

5. Is WhatsApp on the official Business API? Automation on unofficial routes gets numbers banned: mid-campaign, with your customers watching. Test: “show me the template approval flow.”

6. What languages does the APP run in? Not the website: every screen your callers touch. English-only tools get worked around, then abandoned, in most of the world’s calling teams. Test: switch the demo device to your team’s language.

7. What happens with zero bars? Airplane-mode test: open an unvisited lead, update it, create one. All three must work, because your team’s day includes basements.

8. What does the manager see without asking? Dials, connects, talk time, outcomes, follow-ups kept: per caller, live. Test: “show me yesterday, per person, right now.”

9. Can I leave with everything? Statuses, remarks, histories: exported, the day you choose. Data-hostage discoveries happen exactly when you cannot afford them. Test: get the export policy in writing before signing.

10. What is the true year-one total? Seats + telephony + WhatsApp + setup, at your real headcount: the three pricing bands differ 10-30x. Test: make the vendor write the twelve-month number for YOUR team size.

Then ignore the demo: pilot

Whatever survives the ten questions earns a two-week paid pilot on your real list with your real team: the roundup gives you the shortlist.
