WhatsApp vs WhatsApp Business: Which App Should Your Number Use?

By · Chief Executive Officer, Wappblaster

In short: WhatsApp Business is free, uses the same chats and number, and adds a business profile, catalog, labels, quick replies and auto-greetings: every serious business number should switch, and the switch loses nothing. What it does not add: bulk delivery, automation, multi-user access or reports; those live on the Business API. The app upgrades your identity; the API upgrades your operations.

On most Indian business phones, customer chat runs on plain green WhatsApp: the same app the family group uses. The Business version is free, five minutes to switch, and loses nothing, yet the hesitation is universal, mostly from three fears: “will my chats vanish?”, “will customers see something weird?”, “is it paid?” No, no, and no. Here is the full, honest difference.

What stays exactly the same

Same number, same chats (they migrate on switch), same groups, same calls, same encryption, same free price. Customers notice nothing except improvements. You can switch back. The fears are empty; proceed.

What the Business app adds

  • A business profile: name, category, address, hours, website, email. This is the difference between messaging “+91-98XXX” and messaging a business with a face: the trust work a green tick is imagined to do, the profile mostly does free.
  • Catalog: products/services with photos and prices, shareable into any chat: a mini-storefront that replaces re-sending the same five photos forty times a day.
  • Labels: colour-tag chats (New lead, Paid, Pending). Honest limits apply: labels are hand-applied and become their own memory chore past a few dozen customers.
  • Quick replies: “/price” expands to your full price message. The single biggest daily time-saver in the app.
  • Greeting and away messages: an auto-hello to first-time messagers and an after-hours auto-reply: the free cousins of real missed-call automation.
  • Broadcast lists up to 256, with the saved-number delivery catch that makes them a regulars-only tool.

Verdict so far: every business number should be on the Business app. It is strictly better for business use, and using even half its features puts you ahead of most competitors.

What it does NOT do (the ceiling)

The Business app is still one human typing on one phone:

  • Nothing sends itself: no message fires when a call ends, a payment falls due or an order ships.
  • No real bulk: broadcast is not campaigning, and blast behaviour risks the number.
  • One user, really: a team sharing the phone is a queue with a bottleneck; linked devices help browsing, not accountability.
  • No reports: delivery, response and conversion exist only as your scrolling thumb’s impression.

Those four ceilings are exactly what the Business API exists to lift: automation, true bulk on templates, multi-agent inboxes, and metered, reported sending: priced accordingly.

The right ladder for an Indian SMB

  1. Today: switch the business number to WhatsApp Business, complete the profile fully, build the catalog, set the away message. Cost: an evening.
  2. When volume makes typing the bottleneck: keep the app for conversations and let call-triggered automation handle the repetitive sends: the promised details, the follow-ups, the reminder ladder, wired to your call records rather than your memory.
  3. When campaigns or a team arrive: connect the API and graduate the number properly.

The app upgrade is free and overdue. Just know which problems it solves: identity and convenience, and which it never will: memory, scale and automation, so the day those problems arrive, you recognise them as graduation, not failure.

Questions

Questions people ask about this

What is the difference between WhatsApp and WhatsApp Business?

WhatsApp Business is free, uses the same chats and the same number, and adds a business profile, catalog, labels, quick replies and automatic greetings. Every serious business number should switch, and the switch loses nothing.

Does switching to WhatsApp Business lose my chats?

No. It uses the same number and the same conversations, so nothing is lost in the move. What it does not add is automation at scale, multiple agents or delivery reporting, which are API features rather than app features.

Do I need the WhatsApp Business API to send automatic messages?

Not for one-to-one follow-ups: a dialer can open WhatsApp on your own number with the message prepared after each call. You need the official API for fully hands-free sending, bulk campaigns to hundreds of numbers with delivered and read reports, and message templates. RMDialer works both ways and connects to the API from Meta or any provider.

How do I assign leads to telecallers automatically?

Import or connect the lead source once, then turn on round-robin assignment: each new lead goes to the next active employee in rotation, their phone pings, and the lead appears in their assigned queue with the auto dialer ready. Managers can reassign or transfer a lead any time and the transfer history stays on the record.

Why do telecallers stop using the CRM?

Because a separate CRM means typing after every call, and on a busy day the typing is the first thing dropped. The fix is a CRM that lives inside the dialer: the call creates the record, the outcome is two taps on the after-call screen, and the follow-up is set in the same motion. When updating the CRM costs nothing extra, it stays updated.

How to send a WhatsApp message automatically after a call?

Use a dialer with auto WhatsApp: set a message once per call type (missed, incoming, outgoing) and per lead status, and the app sends it the moment the call ends, personalised with the customer's name. From the user's own number it opens WhatsApp with the message ready; through the WhatsApp Business API it sends with zero taps.

How to send bulk WhatsApp messages without getting banned?

Send to people who know you and have opted in, personalise with the name, keep to a few hundred a day from a normal number with gaps between messages, and stop sending to anyone who does not reply or asks you to stop. For larger volumes use the official WhatsApp Business API with approved templates, which cannot be banned for volume and gives delivery reports.

What is a WhatsApp CRM?

A WhatsApp CRM keeps customer chats next to the customer record, so a conversation, its call history, lead status and follow-ups are one file instead of a chat on someone's phone. Built into a dialer, it lets a team reply from the same app they call from, send media and templates, see read receipts, and keep the chat when the employee leaves.

Does bulk WhatsApp from my own number work without an API?

Yes, one message at a time from your phone: the app prepares each message with the name filled in and hands it to WhatsApp, and you tap send. It is safe for lists of a few hundred known contacts. For thousands of numbers, or for reports of delivered, read and replied, the WhatsApp Business API route is the right one.

What is lead management software for telecallers?

Software that turns every phone number into a lead with a source, a status, custom fields and a history, and keeps that record in front of the telecaller while they call. Inside a dialer it means the caller sees the lead before saying hello, updates it in two taps after the call, and never types the same information twice.

What is lost lead tracking?

Marking a lead as lost with a reason, and keeping every lost lead in one list instead of letting it disappear. Lost leads are the cheapest sales you can make later: a win-back call or WhatsApp campaign to last quarter's lost list costs nothing to source and converts better than cold numbers.

What is a telecalling CRM?

A telecalling CRM is customer software built around phone calls: the lead list, the dialer, the call outcome and the follow-up live in one place. The mobile kind, such as RMDialer, replaces the Android phone app on each rep's handset so every call automatically becomes a record with a status, a remark and the next follow-up, and the manager sees the whole team on a web dashboard.

What is the difference between telecalling software and a CRM?

Telecalling software is built to make and track calls (dialing lists, call logs, per-caller reports). A CRM is built to hold customer records and pipeline stages. Most Indian sales teams need both at once, which is why a telecalling CRM combines them: the call itself creates and updates the customer record, so nobody types into a separate system after the call.

What is a CRM dialer?

A CRM dialer is a single app where the dialer and the customer record are the same thing: the call screen shows the lead, and ending the call updates it. It differs from a CRM with "dialer integration", which is two products joined by a sync. RMDialer is a CRM dialer for Android that runs on the user's own SIM.

How long does it take to set up a telecalling app for a team?

About an hour for a small team. Each person installs the app from the Play Store, signs in with the team account and sets it as the default phone app. The owner adds users on the Web CRM, imports the first lead list from Excel and assigns it. Most teams make their first auto-dialled calls the same day.

  • “We needed an auto dialer app that works on our own MTN and Airtel lines, not a call centre subscription in dollars. RMDialer runs on the phones my agents already have, dials the enquiry list, and the WhatsApp follow-up goes out after every call. Works even when the network drops and syncs later.”
Grace Okafor Managing director · Travel agency Lagos, Nigeria
  • “We looked for telecalling software for a nine-person loan team and every quote came with cloud seats and per-minute bills. RMDialer telecalling software runs on the callers' own Jio SIMs: the lead list dials itself, the remark goes on the number, and I get dials, connects and talk time per caller every evening. Cost is one flat price per user.”
Kavita Iyer Operations head · Loan DSA Chennai
  • “Earlier I was dialling 80 to 100 portal leads a day by hand from Excel. With RMDialer auto dialer app I import the sheet, press start and it calls one by one from my own Jio SIM. Between calls I mark Interested or Site visit in two taps and the follow-up rings me on time. Closed 3 flats last month from leads I would have forgotten.”
Rakesh Choudhary Real estate consultant · Property advisory Jaipur
  • “We tried two telecalling CRM software before this and my counsellors stopped filling them within a week. RMDialer is the phone app itself, so every admission enquiry gets logged whether they like it or not. The auto WhatsApp after call sends the fee structure by itself. I see all 4 counsellors' calls on the web CRM every evening.”
