What Is a Sales Cadence? A Follow-Up Sequence for Telecalling Teams

In short: A sales cadence is a fixed plan of follow-up touches for a lead: day, channel and message for each step, from the first call to a close or a drop. It replaces follow-up by memory with follow-up by schedule. A working cadence for an Indian SMB team runs about six touches over two weeks, alternating calls and WhatsApp, front-loaded (three touches in the first three days), and ends with a clear stop. The cadence is a default; the promised date a customer gives you always overrides it.

A sales cadence is the planned sequence of touches a lead receives, specifying for each step the day, the channel and the purpose, from the first contact until the lead buys, declines or is dropped.

The reason the idea exists is simple: follow-up by memory fails. Every team that promises to “call back next week” and does not is missing a cadence, not effort. Here is a working one for a small Indian team, and how to run it without anyone remembering anything.

Why a cadence beats “I will follow up”

  • It front-loads the effort. Interest decays in hours. A cadence puts three touches in the first three days, which is where speed to lead pays off, instead of one call and a vague “later”.
  • It ends. A cadence has a last step and a drop, so a rep is not carrying two hundred “maybe” leads in their head.
  • It makes follow-up measurable. Touches kept versus touches due, per rep, is a number a manager can read; “did you follow up” is not.
  • It fixes the channel mix. Calls where a conversation is needed, WhatsApp where a reminder is enough. The right opening move differs by lead, and a cadence makes the choice once.

A 14-day cadence for an Indian telecalling team

Six substantial touches, three in the first three days, alternating channels, ending on day 14 with a drop. Adjust the gaps by product: admissions and property move faster; industrial and B2B slower.

Adapting the cadence

  • By temperature. A hot lead skips the cadence and gets a close today. A warm lead runs the full sequence. A cold contact gets a shorter one: two attempts and a message, then stop.
  • By source. A referral starts at day 2 with the referrer’s name; a portal lead starts at day 0 with the same-hour call, because portal leads go to whoever calls first.
  • By the customer’s own date. This is the rule that matters most: the promised date always wins. If the customer says “call after the 15th”, the cadence pauses and the reminder is set for the 16th morning. A cadence that calls anyway is a nuisance with a schedule.
  • By response. Any reply resets to the top: a WhatsApp answer on day 9 means a call the same hour, not on day 13.

Running it without remembering

A cadence on paper is a cadence nobody follows by week three. It has to live where the calls happen:

  1. The first touch is automatic. The lead arrives, is assigned on arrival, and lands in the rep’s queue with the auto dialer ready.
  2. The WhatsApp touches send themselves. The day-0 details go out the moment the call ends; the day-3 and day-9 messages are templates attached to the follow-up reminders.
  3. The call touches ring. Each step is a follow-up reminder that rings like an alarm, set in one tap from the previous call’s after-call sheet, and the follow-up dialer auto-dials the day’s due list as one session.
  4. The drop is a status. Day 14 marks Lost with a date, which puts the lead on the win-back list ninety days later.
