Coaching Institute Telecalling CRM Case Study
How a two-branch academy stopped admissions leaking between enquiry and fee
A composite customer story: drawn from how businesses in this category run RMDialer, with identifying details anonymized. Outcomes shown are typical operational results, not audited claims from one named customer.
Before
The enquiry register was a graveyard
Forty names a week, beautifully written, un-owned. Tuesday’s enquiries got called by Friday: after the student had toured two rival academies.
Demo seats sat empty
"Saturday 11am, confirmed" on Tuesday was a no-show by Saturday. Nobody reminded anyone, and demo no-shows almost never rebooked.
Parent calls never got scheduled
The student was convinced; the parent pays. That conversation lived on "let us see": admissions stalled one call from closing.
The setup
What changed
Every enquiry owned and called
each name has a counsellor and a state; the uncalled list is visible by lunch, not discovered at season end.
Demo no-shows cut to a fraction
the evening-before WhatsApp and morning nudge do what the front desk never had time for.
Fee instalments arrive on time
the polite ladder chases; the counsellor only calls where the ladder fails: awkwardness mostly stopped existing.
“Season mein register bhar jata tha aur pata hi nahi chalta tha kaun chhoot gaya. Ab funnel dikhta hai: kaun demo tak aaya, kiske papa se baat baaki hai: seat wahi jaati hai jo follow-up karta hai.”
Admission season at the academy was a paradox: more enquiries than ever, and a conversion rate nobody could explain. The register recorded names but not states: which families toured, which stalled at fees, which were waiting on a father’s Sunday: so counsellors worked from memory and memory worked against them.
Statuses fixed what effort could not: Enquiry, Counselled, Demo Booked, Demo Attended, Parent Discussion, Admitted. The funnel became a screen. Demo reminders went automatic and attendance jumped; "papa will decide Sunday" became a Monday-morning reminder with the family’s whole story attached.
The batch-start push: "6 seats left, Monday start", sent only to documented fence-sitters: now closes each season. Same marketing spend, same counsellors: the difference is that silence stopped being a stage of the funnel.
