CRM Pricing in India: What It Really Costs Per User

Every CRM in India advertises a per-user price. Almost none of them mean it, because the things you actually need are usually priced separately. Here is how to work out the real number before you sign.

The four things that turn a sticker price into a bill

1. Seats you will add. Per-user pricing scales with hiring. A ₹599 per-user tool is ₹2,995 a month at five callers and ₹5,990 at ten. Budget for the team you will have in twelve months, not the one you have today.

2. Telephony. If the CRM calls over VoIP, there is usually a per-minute cost on top of the seat. A rep making 150 calls a day at three minutes each is 450 minutes a day. That line never appears on the pricing page.

3. WhatsApp. Frequently a separate add-on or a higher tier. In India this is not optional, it is where customers reply.

4. The tier trap. The feature you are buying the CRM for is often two tiers above the advertised price. Check which plan contains it before comparing anything.

The five-person maths

The gap only becomes obvious once you multiply. For a team of five over one year:

  • At ₹599 per user per month: ₹2,995/month, ₹35,940/year
  • At ₹159 per user per month: ₹795/month, ₹9,540/year

That is roughly ₹26,000 a year difference for five callers, before any telephony minutes. At ten callers it is about ₹53,000.

None of which means the cheapest tool is the right one. It means you should know the number you are comparing.

When flat pricing wins

Kylas’s ₹38,997 a quarter for unlimited users looks expensive next to a per-user plan, and for a small team it is: about ₹13,000 a month before anyone makes a call.

But the maths inverts. At twenty users, a ₹599 per-user tool costs ₹11,980 a month. At thirty, ₹17,970. Somewhere around twenty to twenty-five callers, unlimited-user pricing stops being expensive and starts being the sensible choice.

If you are planning to scale a calling floor past twenty people, work that crossover out before committing to per-seat pricing.

Questions worth asking before you pay

  • What is the total monthly cost at the headcount I expect in a year?
  • Are calls charged separately? At what rate per minute?
  • Is WhatsApp in this plan, or extra?
  • Which tier holds the feature I am actually buying this for?
  • What happens to my data if I stop paying? Can I export everything?
  • Is there a lock-in on the annual discount?

That last pair matters more than the price. A cheap CRM you cannot leave is not cheap.
