What is telemarketing software?

Telemarketing software runs outbound calling campaigns: it dials lists, routes answered calls to agents, records them, and reports what came back. In India the word carries a regulatory meaning as well, because promotional calling to people who did not ask for it falls under TRAI's rules on registration, DND scrubbing and the 140 number series. That distinction decides which tool you need. A team calling its own enquiries, customers and renewals is not doing telemarketing and needs none of that machinery: it needs the record, the dialling and the follow-up in one app on the phones it already owns, which is what RMDialer is, at about ₹159 per user per month. A team running registered promotional campaigns at volume needs a cloud platform with IVR, recording and scrubbing, billed per seat plus minutes.

  • The rules follow the LIST, not the software
  • Own enquiries and customers: no 140 prefix, no DLT, no scrubbing
  • Bought cold lists: registration, scrubbing and flagged numbers
  • Warm calling on your own SIMs, about ₹159 per user a month
The line

Are you doing telemarketing, or telecalling?

Six questions about your list, not about your software. The answers decide which category of tool you should be buying.

Where did the number come from?

Telecalling. They filled your form, walked into your shop, called you, or bought from you before.

Telemarketing. A vendor sold you the list, or it was scraped from a directory nobody consented to.

Does the person know who you are?

Telecalling. Yes. You are following up on something they started.

Telemarketing. No. The first fifteen seconds are spent explaining why you are calling at all.

What does the regulator call it?

Telecalling. Ordinary business communication. No registration, no 140 prefix, no DLT template.

Telemarketing. Unsolicited commercial communication, which is what DND, DLT and the 140 series exist to govern.

What is a normal connect rate?

Telecalling. 55 to 75 percent, because a real mobile number calling a warm contact gets answered.

Telemarketing. 15 to 30 percent and falling, which is why the category runs on dialling volume.

What does the software have to do?

Telecalling. Hold the record, dial the list, capture the outcome, ring the follow-up. One app, per user.

Telemarketing. Predictive dialling, IVR, mandatory recording, scrubbing, audit trails. A platform, per seat plus minutes.

What goes wrong first?

Telecalling. Nothing calls itself back and the register is unreadable, so promises get dropped.

Telemarketing. The number gets flagged, connect rates collapse on the warm list too, and complaints arrive.

  • “We tried two telecalling CRM software before this and my counsellors stopped filling them within a week. RMDialer is the phone app itself, so every admission enquiry gets logged whether they like it or not. The auto WhatsApp after call sends the fee structure by itself. I see all 4 counsellors' calls on the web CRM every evening.”
Priya Nair Owner · Coaching institute Kochi
  • “Bulk calling app was the search that brought me here. 300 dealer numbers pasted from Excel, SIM 2 selected, 6 second gap, and my two boys finished the list in a day and a half. Busy numbers got retried by itself. Earlier same list used to take a week with a notebook.”
Amit Patel Director · Textile trading Surat
  • “Employee call tracking without a call centre was exactly the requirement. 12 field executives on their business SIMs, and by evening I have calls, connected, missed and talk time per employee on my phone. Nobody types a report. Two people who were "on calls all day" turned out to be doing 11 calls. Fixed in a week.”
Vikram Reddy Sales head · Solar EPC company Hyderabad
  • “Team of 9 salesmen on their own SIMs, no VoIP, no per-minute bills. RMDialer telecalling CRM shows me who called which customer, talk time and the remark, employee wise. Arabic interface for two of my staff was a bonus. Support on WhatsApp replied within minutes.”
Mohammed Faisal Sales manager · Building materials trading Dubai, UAE
  • “Renewal reminder is the reason I pay for it. Every policy due date rings me 30 days, 7 days and 1 day before, with the client's number right there. Earlier 3 to 4 renewals a year quietly went to other agents. Small app, big difference for a single agent like me.”
Sunita Verma LIC advisor · Insurance agency Indore
  • “Best CRM dialer we have used for a small team. Call comes in, the lead card is already on screen with the last remark, and the status change is two taps. Only complaint: the web CRM export could use more filters. Otherwise our 6 person sales team lives in it.”

The framework, briefly

What do India's calling rules actually require?

Six things people ask about in the wrong order. None of them is legal advice; all of them are worth knowing before you sign for a platform.

DND and the register

The Do Not Disturb registry binds promotional calling to people who opted out of it. Calling a customer about their own order, policy or booking is not what it governs.

The 140 series

TRAI reserves the 140 prefix for registered telemarketers making promotional calls, so a recipient can see what the call is before answering. A business calling its own enquiries from an ordinary SIM is outside it.

DLT registration

The distributed-ledger registration covers registered senders, headers and templates for commercial messaging. It is a requirement of the promotional route, not of picking up a customer enquiry.

Consent, in practice

The workable test is whether the person did something that invited the call. A submitted form, a walk-in, a purchase, a renewal date they agreed to. If nothing on that list is true, you are in the regulated category.

What auditors ask for

Who called, which number, when, for how long, what the outcome was, and where the lead came from. Any tool that logs calls automatically answers this without anybody keeping a separate file.

The commercial penalty

Ahead of any regulator, the carriers and the caller-ID apps act first. A number that generates complaints gets flagged, and the flag attaches to the number, not the intent, so the warm list stops connecting too.

A worked example

When does a business genuinely need the heavy version?

An appliance dealer in Ludhiana, and the moment the answer changes.

An appliance dealer in Ludhiana runs four people on the phone. Three of them call service-due customers, people who left their number at the counter, and warranty renewals. That is warm work: the customers know the shop, the numbers are ordinary mobile SIMs, and the connect rate sits comfortably above half. Nothing about that desk needs a 140 prefix, a DLT template or a scrubbing service, and buying a platform that provides them would mean paying per seat and per minute for machinery aimed at a problem the shop does not have.

The fourth person is the one to watch. When the shop buys a list of housing-society residents and starts pitching air conditioners in April, that desk has crossed into the regulated category. It is not a small change: the calling numbers begin collecting reports, and within a few weeks the flag starts costing the other three their connect rate on customers who actually know the shop. The tool is not what changed. The list did.

Which is the practical reading of this whole page. Work out which pile your numbers came from before you shortlist anything, because the pile decides the category, the category decides the price, and getting it wrong is expensive in a way that does not show up until the warm list stops answering.

Telemarketing CRM, telecalling software: which word you use tells us your list

Purchase departments write "telemarketing software" on a requirement sheet the way they write "photocopier": as the generic name for a category, not as a statement about regulation. So the phrase arrives here from two very different desks. If yours calls people who already contacted you, the tool you want is described on the telecalling software page, and the only thing that changes is the word on the sheet. If yours runs registered promotional campaigns, the honest answer is that we are not that product, and the section above names the platforms that are.

You will also see it called telemarketing crm, telemarketing software india, telemarketing dialer and telemarketing management software. They describe the same thing, so whichever phrase brought you here, this is the page for it.

How it works

How should a calling desk set itself up to stay on the right side?

  1. 1

Sort the list before the software

Split what you have into people who contacted you and people who did not. The second pile is the one with rules attached, and it is usually much smaller than anyone expects.

Put the warm pile on your own SIMs

Enquiries, customers and renewals get called from ordinary mobile numbers that people answer, with the record kept inside the call.

  3. 3

Questions

Telemarketing software: what buyers ask about the rules

Updated on

Is telemarketing legal in India?

Yes, as a registered activity with rules attached. Promotional calling to people who did not ask to hear from you sits under TRAI's commercial-communication framework: registration, the 140 prefix, DND scrubbing and consent records. What is not legal is doing that from an ordinary mobile SIM while ignoring the framework. Calling your own enquiries and customers is a different activity and carries none of it.

What is the 140 number series, and do I need one?

It is the prefix TRAI reserves for registered telemarketers making promotional calls, so the person seeing the ring knows what it is. You need it if you are cold-calling strangers with an offer. You do not need it to call somebody who filled your enquiry form last night, and most teams shopping for telemarketing software turn out to be in the second group.

What is DND scrubbing, and does my team have to do it?

Scrubbing means checking a list against the Do Not Disturb registry and removing the people who opted out, before dialling. It applies to promotional campaigns. It does not apply to calling a customer about the thing they are already your customer for. RMDialer does not scrub lists, because it is built for the second case.

Do I need DLT registration to call my own customers?

No. DLT registration governs registered senders, headers and templates on the commercial messaging route. Calling a customer from your own business SIM about their own order, renewal or enquiry is ordinary business communication. If you also send bulk promotional messages, that channel has its own requirements independent of how you make calls.

Is calling someone who filled my website form telemarketing?

No. They initiated contact and are expecting a reply, which is the opposite of unsolicited. That is the single most common misunderstanding behind this search: a business with a form on its website, a JustDial listing and a shop counter goes looking for telemarketing software when what it needs is a tool for following up its own enquiries.

What is the difference between a promotional and a transactional call?

Promotional calls push an offer at somebody who did not ask for it. Transactional calls concern something already underway between you: an order, a booking, a payment, a renewal, a service visit. The rules that people associate with telemarketing software are built around the first kind, which is why the category looks so heavy to a team that only ever makes the second.

Can telemarketing software run on ordinary mobile SIMs?

For warm calling, yes, and it works better: a local mobile number gets answered where an unfamiliar prefix gets screened. For registered promotional campaigns at volume the answer is no, because that route needs the 140 series and a platform built around it. RMDialer telemarketing software of the first kind runs on the Android handsets a team already carries.

Why do my numbers keep getting flagged as spam?

Because the flag follows behaviour, not intent. High dial volume to people who do not recognise the number produces reports, and caller-ID apps and carriers act on those long before any regulator does. The damage is not limited to the cold list either: once a number is flagged, the customers who do know you stop seeing your calls properly too.

What happens if a customer complains about a call?

On the promotional route a complaint enters a formal process with the registered sender attached to it. Outside that route the practical consequence is commercial: the number accumulates reports and starts getting screened. Either way the useful defence is a log showing who called, when, for how long, and where the lead came from, which RMDialer builds from the calls themselves.

Does telemarketing software have to record calls?

Registered promotional operations generally keep recordings as part of their audit trail. A team following up its own enquiries usually does not need to, and in India recording a call requires the participants' awareness. RMDialer can bring in recordings the phone's own dialer made, rather than pretending to record silently, because silent recording is the part that creates the legal problem.

Do predictive dialers work well in India?

They suit high-volume registered campaigns with agents waiting on a queue, which is what the technology was designed for. They suit a small sales desk badly: the abandoned calls that predictive dialling accepts as a cost are exactly the calls that get a number reported, and a team of six never has the volume to make the maths work anyway.

How is telemarketing software usually priced?

Platform tools price per seat plus per-minute telephony, so the bill moves with how much you talk and usually lands between ₹1,000 and ₹3,000 per seat before minutes. SIM-based tools price flat per user with calls on your normal operator plan: RMDialer is about ₹159 per user per month on the yearly plan with no meter on top. Compare a full year at your real headcount, including the minutes.

Can I buy a lead list and start calling it?

You can buy one. Calling it puts you squarely in the regulated category, with registration, scrubbing and the 140 prefix attached, and it exposes your calling numbers to the flagging problem above. Teams that try it usually find the connect rate does not justify the damage to the numbers they use for real customers.

What should the software log for an audit?

Caller, number dialled, timestamp, duration, disposition and lead source, kept per call rather than summarised. The point is that it should accumulate automatically: an audit trail that depends on people filling in a sheet at the end of the day is the one that turns out to have gaps exactly where it matters.

Which telemarketing software suits a team under twenty callers?

Below about twenty callers working their own enquiries, a SIM-based tool wins on both arithmetic and answer rates, and RMDialer is built for that shape. If you genuinely run registered promotional campaigns at volume, look at Ozonetel, Exotel or MyOperator instead: they carry the IVR, recording and scrubbing that route requires, and they are the better buy for it.
