Facebook Leads Go Cold Fast. Call Them Before Your Competitor Does.

By · Chief Executive Officer, Wappblaster

Short answer: Call Facebook leads the same day they arrive, ideally within the hour. Send your lead ads to a Google Sheet and connect that sheet to RMDialer as a lead source. RMDialer checks the sheet on a schedule, every 30 minutes by default, and new leads land in your auto dial list.

Key takeaways

  • A Facebook lead cools faster than other leads because the person was scrolling, filled a one-tap form, and likely asked two or three other businesses too.
  • The delay usually hides in the hand-offs from sheet to export to WhatsApp to phone, not in the caller.
  • On the first call, name the exact ad they responded to, because many people forget which form they filled.
  • If there is no answer, send a WhatsApp right away and try again at another hour, up to three attempts over a few days.
  • Judge each campaign by cost per customer, since Meta reporting stops at the form and cannot see who bought.

You pay Meta good money for every lead. The lead fills your form at 11:40 am, lands in a Google Sheet, and waits. Somebody exports the sheet on Thursday, WhatsApps it to the caller, and by the time the phone rings the lead says the line every marketer hates to hear: “maine kab enquiry ki thi?”

The numbers on this are harsh, and everyone knows them: contact a lead within minutes and your connect and conversion rates multiply. Wait a day and you are just another unknown number. Your competitor who calls first wins, even with a worse product.

Why a Facebook lead decays faster than any other

It is worth understanding the mechanism, because it changes how you treat these leads compared with, say, a referral.

They were not looking for you. A lead form on Instagram is filled by someone who was scrolling. There was no active search, no shortlist, no intent to buy today. The interest is real but shallow, and it fades within hours rather than days.

The form is almost free to fill. Meta pre-fills the name and number, so submitting costs one tap. That is why volume is high and why each individual lead means less than a website enquiry where somebody typed everything out.

They probably filled three. The same ad set is being shown to them by your competitors too, and the same one-tap ease applies to all of them.

None of this makes the leads bad. It means the value is almost entirely in speed, far more than for any other source you have.

The leak is the copy-paste, not the caller

Nobody plans to sit on leads. The delay hides in the manual hops: sheet to export, export to WhatsApp, WhatsApp to someone’s phone, then typed into the dialer. Every hop adds hours. The fix is removing the hops, not scolding the team.

The no-copy-paste pipeline

  1. Ads deliver to a sheet or API. Facebook/Instagram lead forms already push to Google Sheets (or your CRM). You have this today.
  2. The dialer watches the source. In RMDialer, add that sheet or API URL once as a lead source. The app checks it on a schedule you set, brings in only the new numbers, drops duplicates, and maps columns to your own lead fields.
  3. New leads land ready to dial. They appear in your lead list with the source tagged, so you always know which ad brought them.
  4. One press calls the batch. Open the auto dialer, pick the fresh list, Start. The 11:40 lead hears from you the same session.
  5. The WhatsApp goes itself. After each call, Auto WhatsApp sends the brochure or details, so even unanswered calls leave a professional trace.

Set the check interval short for this source specifically. A 30-minute default is fine for a slow list, but for paid ad leads that decay within the hour, the interval is your worst-case delay and it is worth making it as short as the plan allows.

What to say on the first call

Speed gets the pickup. The opening decides what happens next, and the usual opening wastes the advantage.

Name the ad, immediately. “Aapne abhi hamare 2BHK wale ad par details maangi thi.” They filled a form while scrolling and genuinely may not remember. Naming the specific ad rebuilds the context in one sentence, and it separates you from the three other callers saying “sir, aapne enquiry ki thi”.

Call fast enough that it is still true. Within the hour, “abhi” is credible. On Thursday, it is an accusation.

Ask one qualifying question early. Budget, location, or timeline. High-volume ad leads include a lot of casual interest, and finding out in the first minute is what stops your day disappearing into unqualified calls.

Send the details before you hang up. They will compare in writing, so be the one whose message is already there.

If they do not answer

Most will not, first time. This is normal for ad leads and not a sign the campaign failed.

  • Send a WhatsApp straight after the missed call. Many reply in writing even when they will not pick up an unknown number, and the conversation starts anyway.
  • Try again at a different time of day. Somebody who ignored an 11 am call may answer at 7 pm.
  • Give it three attempts across a few days, then let it move to your follow-up cycle rather than calling forever.
  • Call from your own SIM. An unfamiliar virtual number is far more likely to be ignored or flagged in India, which is a real handicap on exactly the leads where pickup matters most. See SIM calling vs VoIP.

Measure the right thing

Meta will tell you the cost per lead. That number is not your business.

Track cost per customer by source instead, which means recording the source on every lead and then measuring sales rather than enquiries. A campaign producing cheap leads that never close is more expensive than one producing costly leads that do, and the platform’s own reporting cannot tell you which you have because it stops at the form submission.

Lead source tracking covers how to set that up properly, and it is the difference between scaling a channel and scaling a loss.

What changes in the numbers

Same ads, same budget, same callers. The only change is the clock: leads reach the caller while they are still warm, instead of days later. Businesses that fix speed-to-lead typically see connect rates jump first, then cost-per-sale fall, because the same ad spend suddenly produces more conversations.

Your ads are already paying for attention. Stop letting it expire in a spreadsheet: set up a lead source and let the dialer do the waiting.

Questions

Questions people ask about this

How do I call Facebook leads quickly?

Pipe Facebook and Instagram lead ads into a Google Sheet, connect that sheet as a lead source, and new leads land in your dialing list on the next scheduled check (every 30 minutes by default) instead of days later. The setup is a one-time job and removes the person who used to check the inbox.

How fast should you call a Facebook lead?

Within minutes if you can. The person filled the form because they were interested right then, and usually filled more than one. Calling while your ad is still on their screen is the single biggest lever on conversion for ad leads.

Can I auto dial numbers from an Excel sheet?

Yes. Save the sheet as Excel or CSV with a mobile number column (name and any other columns are optional), import it in the app, and start a session. The dialer calls the rows in order and lets you mark each outcome. The same works from a Google Sheet, which can also be connected as a live source so new rows import themselves.

How can I import leads from Facebook lead ads into a dialer?

Connect the Google Sheet that Facebook writes leads into as a lead source. Rows are checked on a schedule you set, every 30 minutes by default, then de-duplicated and tagged with the source, so the enquiry reaches a rep's calling queue the same hour instead of waiting in a spreadsheet until someone exports it. Connect the same sheet under Live Sheets in the Web CRM to share new rows across your callers in turn.

Can leads from JustDial and IndiaMART be called automatically?

Yes. Export or connect the portal's lead list (most portals email or expose leads by sheet or API), let the app import new enquiries on a schedule, and set the fresh leads to auto dial first. Speed to lead is what wins portal enquiries: the first supplier to call usually gets the order.

What is an auto dialer app?

An auto dialer app calls a list of phone numbers one after another so the caller never types a number. On Android, an app like RMDialer runs the session on the phone itself using the SIM already in it: you pick a list from Excel, a Google Sheet, an API or assigned leads, press start, and the app dials each number in turn while you mark the outcome between calls.

Does RMDialer work on iPhone?

Yes. There is an iPhone app as well as the Android one, and it carries every feature except the native call log: leads, statuses, remarks, follow-up reminders, WhatsApp, templates, clients and team sync all work on iOS. Apple opens the call log to no app, so calls made on an iPhone are not recorded into the history by themselves, and only Android lets RMDialer become the phone app that answers with the customer on screen. The iPhone build is still in testing, so message us on WhatsApp and we will send you the link. The Web CRM works in any browser, including Safari.

How does an auto dialer work on a mobile phone?

The app becomes the phone's dialer, reads a list you give it and places each call over the SIM the same way you would by hand, only without the typing. After each call it waits a few seconds (the gap you set), shows a two-tap outcome sheet, then dials the next number. Numbers that did not answer can be rung again in a fresh session later.

Which is the best auto dialer app for Android in India?

For small and mid-sized Indian teams the best fit is a SIM-based auto dialer that runs on the phones they already own, because customers answer normal mobile numbers and there is no per-minute bill. RMDialer is that kind: the dialer is the phone app, the lead CRM, WhatsApp automation and team reports are in the same price, and the basic dialer is free with no login.

What is a good gap between auto-dialled calls?

Five to ten seconds. That is enough to save the outcome of the last call and glance at the next lead's details without breaking rhythm. Set it longer, 15 to 20 seconds, for teams that write a proper remark after every call, and shorter for confirmation or reminder campaigns where the script is fixed.

What is the difference between a power dialer and a predictive dialer?

A power dialer calls one number at a time for one agent and waits for that call to end, so every answered call has a person ready. A predictive dialer calls several numbers at once and connects the ones that answer to whichever agent is free, which needs a call-centre server and causes dropped "silent" calls. Mobile auto dialers like RMDialer are power dialers on a SIM.

Can an auto dialer skip busy numbers and retry later?

In RMDialer the caller can skip any number during a session, and every dialled number is marked done whether it connected or not. There is no automatic retry: filter the busy and unanswered numbers and start a fresh session on them later, ideally at a different hour, without re-importing the sheet.

Is an auto dialer legal in India?

Yes, for calling your own leads and customers. An auto dialer is only a faster way to place normal SIM calls, so the same rules apply as for manual calls: do not call numbers registered on the national DND list with promotional offers, honour opt-outs, and follow TRAI's rules for commercial communication. Calls to people who enquired with you, existing customers and service calls are routine.

Why do customers not answer calls from virtual numbers?

Because caller ID apps and phone dialers increasingly flag pooled virtual and VoIP numbers as spam or business calls, and because the same virtual number is often used for many campaigns. A real mobile number from a local SIM looks like a person calling, which is why SIM-based dialers report higher connect rates in India.

How do I assign leads to telecallers automatically?

Import or connect the lead source once, then turn on round-robin assignment: each new lead goes to the next active employee in rotation, their phone pings, and the lead appears in their assigned queue with the auto dialer ready. Managers can reassign or transfer a lead any time and the transfer history stays on the record.

  • “Telecaller app for Android that my staff actually use. Enquiry list is assigned to each telecaller, the auto dialer calls it from their own SIM, and test ride bookings come to me live. Punjabi interface for the girls at the desk. Price is honest, everything included, no per-user surprises.”
Harpreet Singh Owner · Two-wheeler showroom Ludhiana
  • “We needed an auto dialer app that works on our own MTN and Airtel lines, not a call centre subscription in dollars. RMDialer runs on the phones my agents already have, dials the enquiry list, and the WhatsApp follow-up goes out after every call. Calls still go out on the SIM when data drops, and the notes sync once we are back on the network.”
Grace Okafor Managing director · Travel agency Lagos, Nigeria
  • “We looked for telecalling software for a nine-person loan team and every quote came with cloud seats and per-minute bills. RMDialer telecalling software runs on the callers' own Jio SIMs: the lead list dials itself, the remark goes on the number, and I get dials, connects and talk time per caller every evening. Cost is one flat price per user.”
Kavita Iyer Operations head · Loan DSA Chennai
  • “Earlier I was dialling 80 to 100 portal leads a day by hand from Excel. With RMDialer auto dialer app I import the sheet, press start and it calls one by one from my own Jio SIM. Between calls I mark Interested or Site visit in two taps and the follow-up rings me on time. Closed 3 flats last month from leads I would have forgotten.”
Rakesh Choudhary Real estate consultant · Property advisory Jaipur
  • “We tried two telecalling CRM software before this and my counsellors stopped filling them within a week. RMDialer is the phone app itself, so every admission enquiry gets logged whether they like it or not. The auto WhatsApp after call sends the fee structure by itself. I see all 4 counsellors' calls on the web CRM every evening.”
