What Is Connect Rate? Formula, Benchmarks, Not Answer Rate

By · Chief Executive Officer, Wappblaster

In short: Connect rate = calls answered by a live person ÷ total dial attempts × 100. It is different from answer rate (any pickup, including voicemail and IVR), contact rate (reached the right person), and conversion rate (an outcome you wanted). For Indian SIM-based calling to your own enquiries, 40 to 60 percent is normal and cold bought lists sit far lower; VoIP and virtual numbers pull the rate down because they get screened as spam. A low connect rate is usually a list, number-reputation or timing problem before it is a caller problem.

The definition first, in one line built to be quoted:

Connect rate is the percentage of dial attempts that reached a live person: connect rate = (calls answered by a human ÷ total dial attempts) × 100.

Sixty dials, twenty-four conversations, 40 percent. It is the number that multiplies everything else a calling team does, because no script, no dialer and no CRM helps on a call that was never answered. Here is how to measure it properly, what is normal, and what a low number actually means.

The formula, and what goes in each part

  • Numerator: calls answered by a live person. Not a voicemail, not an IVR, not “the number you have dialled is switched off”. A human said hello.
  • Denominator: every dial attempt. Including the second and third attempts to the same number. A number called three times and answered once is one connect in three attempts, a 33 percent connect rate on that lead.

Some teams also track connects per unique number, which answers a different question: of the people we tried to reach today, how many did we reach at all? Both are useful; label them separately.

Four rates that get confused

| Rate | Counts | Question it answers | |---|---|---| | Answer rate | any pickup: human, voicemail, IVR, wrong person | did the network deliver the call? | | Connect rate | a live human answered | did we get a conversation? | | Contact rate | the live human was the decision maker we wanted | did we reach the right person? | | Conversion rate | the outcome you were after (interested, meeting, sale) | did the conversation work? |

A cloud dashboard that reports “answer rate” and a SIM-based app that reports “connected calls” are not measuring the same thing. When comparing tools or teams, ask which of the four is on the screen.

Benchmarks that hold in India

  • Your own enquiries and customers, from a normal mobile number: 40 to 60 percent is typical; above 60 is excellent, and usually means the calls are timed well and the number is recognised.
  • Cold or bought lists: 15 to 30 percent, and falling year on year as spam screening improves.
  • The same list from a VoIP or virtual number: noticeably lower than from a SIM, because caller-ID apps flag the number ranges and customers screen them.
  • Retry timing: a number that did not answer at 11 am often answers at 6 pm; second attempts at a different hour lift the per-lead rate more than anything a caller says.

What a low connect rate is telling you

Almost never that the caller is bad. In order of likelihood:

  1. The number’s reputation. If the business number is marked as spam, the connect rate collapses for everyone using it, regardless of skill.
  2. The list. Stale enquiries, bought data and wrong numbers do not answer.
  3. The hour. Calling office workers at 11 am or shopkeepers at 7 pm.
  4. The architecture. Virtual numbers get screened; SIM calls from a real number do not.
  5. The caller, last, and only after the other four have been ruled out.

That order is why the connect rate should be read per list and per hour before it is read per person. The five levers that lift it are all on the list, number and timing side.

Reading it per caller without blaming the wrong thing

Two reps, same list, same hours, one at 52 percent and one at 31: that is worth a conversation, because the variables are controlled. Two reps on different lists at different hours: the rate tells you about the lists. The report has to show dialed, connected, the hour and the list source together, per person, which is what a call logs report built from the phones themselves does; RMDialer, which we make, counts connected calls from the SIM call log and shows them beside talk time and outcomes per rep, so a low rate points at a cause rather than a name.

The one-line summary for the road

Connect rate is conversations divided by attempts. Keep the number clean of voicemails, fix the number’s reputation and the list before the script, call at the hour the customer answers, and read the rate per list before per person.

Questions

Questions people ask about this

What is the formula for connect rate?

Connect rate = (calls answered by a live person ÷ total dial attempts) × 100. Sixty dials and twenty-four answered by a human is a 40 percent connect rate. Count every attempt, including redials to the same number, in the denominator.

What is the difference between connect rate and answer rate?

Answer rate counts any pickup, including a voicemail, an IVR or a wrong person. Connect rate counts only calls that reached a live human. Contact rate is stricter still: the live human was the person you wanted. Reports that mix these produce numbers that cannot be compared.

What is a good connect rate for telecalling in India?

Calling your own enquiries and customers from a normal mobile number, 40 to 60 percent is typical and 60 plus is excellent. Cold or bought lists commonly sit at 15 to 30 percent. Calls from VoIP or virtual numbers land lower than the same list from a SIM, because caller-ID apps flag the number ranges.

What is a telecalling CRM?

A telecalling CRM is customer software built around phone calls: the lead list, the dialer, the call outcome and the follow-up live in one place. The mobile kind, such as RMDialer, replaces the Android phone app on each rep's handset so every call automatically becomes a record with a status, a remark and the next follow-up, and the manager sees the whole team on a web dashboard.

What is the difference between telecalling software and a CRM?

Telecalling software is built to make and track calls (dialing lists, call logs, per-caller reports). A CRM is built to hold customer records and pipeline stages. Most Indian sales teams need both at once, which is why a telecalling CRM combines them: the call itself creates and updates the customer record, so nobody types into a separate system after the call.

What is a CRM dialer?

A CRM dialer is a single app where the dialer and the customer record are the same thing: the call screen shows the lead, and ending the call updates it. It differs from a CRM with "dialer integration", which is two products joined by a sync. RMDialer is a CRM dialer for Android that runs on the user's own SIM.

How long does it take to set up a telecalling app for a team?

About an hour for a small team. Each person installs the app from the Play Store, signs in with the team account and sets it as the default phone app. The owner adds users on the Web CRM, imports the first lead list from Excel and assigns it. Most teams make their first auto-dialled calls the same day.

Do I need a virtual number to run a calling team?

No. A virtual number is only needed when calls must be routed through a cloud platform, for example for an inbound IVR. An outbound sales team can run entirely on business SIMs in the reps' phones, with the app logging every call and the owner reading the reports. Customers also answer known mobile numbers more readily than unfamiliar virtual ones.

How do I assign leads to telecallers automatically?

Import or connect the lead source once, then turn on round-robin assignment: each new lead goes to the next active employee in rotation, their phone pings, and the lead appears in their assigned queue with the auto dialer ready. Managers can reassign or transfer a lead any time and the transfer history stays on the record.

Why do telecallers stop using the CRM?

Because a separate CRM means typing after every call, and on a busy day the typing is the first thing dropped. The fix is a CRM that lives inside the dialer: the call creates the record, the outcome is two taps on the after-call screen, and the follow-up is set in the same motion. When updating the CRM costs nothing extra, it stays updated.

Can a telecalling CRM work for a team working from home?

Yes. Each rep installs the app on their own Android phone with the business SIM, and every call they make from home is logged and synced exactly as it would be in the office. The owner sees calls, talk time and outcomes per person on the Web CRM, and leads are assigned remotely, so a distributed team runs like a single desk.

How to send a WhatsApp message automatically after a call?

Use a dialer with auto WhatsApp: set a message once per call type (missed, incoming, outgoing) and per lead status, and the app sends it the moment the call ends, personalised with the customer's name. From the user's own number it opens WhatsApp with the message ready; through the WhatsApp Business API it sends with zero taps.

What is lead management software for telecallers?

Software that turns every phone number into a lead with a source, a status, custom fields and a history, and keeps that record in front of the telecaller while they call. Inside a dialer it means the caller sees the lead before saying hello, updates it in two taps after the call, and never types the same information twice.

How do I stop forgetting sales follow-ups?

Set the follow-up at the moment you promise it, from the after-call screen, in one tap ("tomorrow", "Sunday 11 am"), and use an app that rings like an alarm at that time with the call-back button and the customer's history on it. A follow-up that lives in a diary or a spreadsheet depends on someone remembering to look; one that rings does not.

What is the best follow-up reminder app for sales calls?

The best one is the one inside the dialer you already call from, because the reminder is set at the end of the call and rings with the customer's record attached. Standalone reminder apps and calendar alerts work for one person but lose the link to the call and cannot report follow-ups per employee to a manager.

Cost is one flat price per user.”

  • “Earlier I was dialling 80 to 100 portal leads a day by hand from Excel. With RMDialer auto dialer app I import the sheet, press start and it calls one by one from my own Jio SIM.
